Responsibilities:
Carry out basic HR and administration tasks.
Assist and coordinate with sales and marketing teams.
Support sales staff in handling and documenting customer account
Assist in carrying out various human resources programs and procedures, including new- joiner inductions, orientations, reference checks and pre-employment formalities, for all company employees.
Prepare and compile relevant reports and records from all branches and keep them updated and verified.
Update calendars and schedule meetings.
Maintain office security by following safety procedures and controlling access.
Offer water/beverages to the guests and directors and clear and organize the crockery, etc.
Answer, screen and forward any incoming phone calls and make calls relevant to the office administration tasks.
Organize, monitor, order and review inventory of office supplies and purchases of all branches with attention to the budgetary constraints.
Prepare, accept and distribute mailing and couriers.
Supervise and ensure third-party cleaning agents’ timely and proper cleaning of the office as per their weekly contract schedule or any other official services execution and completion.
Do basic dusting and cleaning of the office and its equipment/appliances on other than third party cleaning agent’s scheduled days and ensure that the office is always clean and well organized.
Assist in arranging travel and accommodations, and prepare vouchers as per instruction.
Follow up closely with all branch record keeping documents and relevant tasks.
Closely assist in reviewing the records and incoming and outgoing requisition.
Assist and maintain all branches databases, Spreadsheets and reports and prepare documents as required.
Assist in organizing a filing system for important and confidential company documents for relevant seniors.
Regular filing, photocopying, transcribing etc.
Update and monitor attendance system of all branches.
Monitor leave applications ,poor attendance ,MC verification, other relevant tasks.
Prepare reports and presentations with statistical data as assigned.
Reviewing and keeping close monitoring on all company websites and other social operations.
Assist in reviewing quotations and negotiating price, quality, approvals and delivery.
Responsible for effectively managing front office functions, office communications and administrating support.
Implementing organized and policy compliance work atmosphere and procedures in the organization.
Assist in revising ,editing ,proofreading company policies and procedures and related documents as needed.
Manage and participate in company-sponsored events.
Help to maintain the organization chart and employee directory.
