  • Responsible for reviewing requests for medical equipment and supplies received from all Departments within the Medical Organization to see if they are feasible to the operation and that all spare parts and accessories are included.
  • Initiates and responsible to guide the team to select the materials to be stocked, recommends the initial amount required, estimates the annual usage and prepares data for catalog and purchase descriptions.
  • Approves operating procedures, indoctrinates personnel concerned, co-ordinates functions involving medical and non-medical supply items.
  • Is an active member of the Infections Control, Safety, and Standardization Committees to support the materials ordering conformance to the infection control and safety standards.
  • Keeps abreast of new medical machinery and material by reading trade journals and various vendor’s literature on a routine basis.
  • Applies this knowledge in contacts with user departments to assist them in reaching decisions on equipment requirements or modifications.
  • Recommends and arranges for disposal of all obsolete Hospital material.
  • Coordinates all medical supply requisitions through the Purchasing Department.
  • Works with line personnel and with appropriate Materials Supply personnel to help resolve immediate and short-term materials acquisition problems.
  • Prepares correspondence regarding materials availability, status and current expediting action to the Central Purchasing under the supervision of Materials Manager.
  • Provides work direction to assigned materials personnel as necessary.
  • Performs managerial functions commensurate to the segment as established by management.
  • Plans, coordinates, supervises, negotiates and evaluates supply preparation and distribution activities in cooperation with the requesters/users.
  • Makes daily rounds of the segment to assess the efficiency of the work and evaluation of the staff performance.
  • Interprets and adheres to organization policies and procedures in order to maintain standards and practice.
  • Ensures safe work practices in conformance with infection control, fire and safety regulations. Institutes action to cancel and non-standard practices. Prepares incident reports as necessary.
  • Determines development needs of employees. Plans programs to meet these needs utilizing orientation programs, training materials and work experience as well as in- service education and resource personnel.
  • Instructs and works with staff in utilization of Tasks manual, quality assurance activities, resources, specific segment resources and computer skills.
  • Conducts investigations of employee and/or user problems encountered and takes necessary action; utilizes counseling and guidance techniques and refers problems as necessary to the MTM Manager.
  • Develop yearly segment goals and implements appropriate objectives for attaining goals.
  • Directs the procurement, maintenance and distribution of supplies.
  • Bulk stores segment responsible for ordering supplies to maintain adequate inventory for continuous uninterrupted patient diagnosis, treatment and care.
  • Conducts staff meetings for communications, interpretation of new policies and programs and for problem solving.
  • Issues appropriate orders and takes necessary action in the event of emergencies. Is available on call for organization-wide disasters. Works or rotates on all after hours and/or on weekends or holidays as required.
  • Is a member of the Purchasing Committee.
  • Prepares vacation schedule, monthly time schedule and daily assignment schedule for the particular segment. Ensures adequate staffing through review and revision of time schedules.
  • Handle shipping documents and entrust to the hospital liaison officer to release from customs.

Assists higher classified materials control personnel in the performance of the following duties:

a) Provides support to MICAnalysts and AMS Specialists using CRT’s and computer-generated reports to review material requirements for use in recommending order actions.

b) Reviews historical data of storehouse materials issues, allocations and materials returns and makes analysis of data for use in recommending inventory levels.

c) Responds to proponent requests on materials status by checking the expected time of arrival (ETA) per the promised delivery dates. Communicates with the materials proponents, as required and update the requesters.

d) Directs regular clerical duties in support of the team such as typing, filing, form preparation, etc.

e) Works with line personnel and with appropriate Materials Supply personnel help resolve immediate and short-term materials acquisition problem.

f) Prepares L/C contracts and related tasks.

g) Improving manual purchase requisitions accomplishment percentage is Supervisor’s responsibility, monitoring & supporting MTM team to accomplish their PR’s on time is your direct responsibility.

h) Improving system purchase requisitions accomplishment percentage & fulfillment stocks of any fast moving items is your responsibility, monitoring & supporting MTM team to accomplish their System PR’s on time is your direct responsibility I am sure supervisors will consider above as your top priorities.

i) To arrange the Demo unit to support urgent requirement 

j) Inventory Purchase Order review and Authorization 

k) Manual PR review and distribution 

l) Maintenance and warranty contract review and correction 

m) Petty Cash Management 

n) Reviewing the all the VA 

o) To meet the supplier with MTM Manager for negotiation and finalization of the deal.
