We are in search of a highly skilled assistant to aid us in managing both our professional and personal lives. We own and oversee several businesses operating across multiple time zones, spanning the Software Development, Hospitality, and Digital Marketing industries in Dubai, the UK, Netherlands, and Saudi Arabia.
This role encompasses a comprehensive position across all these businesses and any new ventures. It includes involvement in various aspects of each company, as well as our personal lives, and is expected to be demanding, requiring versatility, hard work, a friendly disposition, confidentiality and a positive attitude.
Key Responsibilities:
- Managing email inboxes and WhatsApp communication
- Handling diaries, transportation, and logistics
- Managing financial tasks, including payments, transfers, and banking administration
- Taking care of operational responsibilities, such as meeting minutes, internal policy and performance audits, software management, and file organization
- Facilitating staff communication as per our instructions across all businesses
- General administration duties, including managing forms, agreements, online sign-ups, emails, printing, signing, correspondence, and document collection
- HR responsibilities, which encompass recruitment, onboarding, and staff oversight
- Receptionist duties, like phone answering and email correspondence
- Following up with tasks to ensure effective closure without our direct involvement
- Responsible for safe and efficient transportation of family members, including airport meet and greet, and running errands for personal tasks.
- Adhere to road safety regulations while driving for the family and maintain a high standard of driving skills
- Source requested items and make purchases in UAE malls and shopping centers, ensuring excellent shopping assistance, and taking in-charge, care, and proper maintenance for the company vehicle, and owner’s vehicles.
- Maintain high availability and readiness for immediate assistance on a flexible schedule, including weekends, and maintain strict confidentiality of all personal and business operations.
- Tackling any other ad-hoc tasks that may arise on a professional or personal level
