Provide strategic direction and leadership for the Administration, IT departments to upkeep operations in compliance with the company’s systems and in alignment with its business strategy. Lead the administration department in developing and implementing administration policies, procedures, and processes in alignment with company strategies. Lead the IT department to ensure the effective management of hardware, software, and network systems as well as the proper processing of data to ensure seamless operations and data security. Oversee the administration facility management, the service maintenance contracts, the company’s permits, subscriptions and membership, documentation & workflows.

Responsibilities: Essential duties and functions are included.

1. Develop and implement policies and procedures related to corporate services, ensuring compliance with relevant regulations and industry best practices. 

2.   Prepare & implement the departments objectives and action plan based on approved strategy

3.   Lead & oversee the administration & IT activities, processes, and systems and suggest recommendations for continuous improvement to ensure smooth and efficient operations

4.      Lead and mentor the administration & IT team, providing guidance, coaching, and performance management.

 5.   Based on agreed procurement policy, implement the procurement procedure, and ensure its application for office supplies, cleaning and cafeteria supplies, Printout forms, IT supplies.

6.   Monitor supplies inventory (stock levels) in order to anticipate needed quantity, to place orders and overview the quality of the received items

7.   Oversee renewal and implementation of all maintenance service agreements to ensure their efficiency

8.   Manage the company personnel insurance renewal and implementation and ensure that all workers and employees are covered

9.   Organise corporate events in collaboration with cross-functional teams

10. Develop and carry out an efficient documentation and archiving system

11. Oversee the administration facility management, the service maintenance contracts, the company’s permits, subscriptions and membership

 12. Submit a detailed report on regular basis to the QM & SR Manager informing about the progress of the situation shedding the light on problems and solutions

13. Ensure compliance with the company systems and standards in terms of health, safety, security, and quality management. 

14. Oversee the administration facility visitors’ accesses, front desk and reception area, meeting rooms management
