Position Overview

The Banquet & Events Supervisor is responsible for overseeing and coordinating the setup, service, and breakdown of events, including banquets, meetings, conferences, and other largescale catering functions. This role involves managing the event staff, ensuring that events run smoothly, maintaining high standards of service and quality, and providing excellent customer service to event clients. The Banquet & Events Supervisor ensures that all logistics, from preparation to execution, meet client expectations and company standards. 

Key Responsibilities

 Event Coordination & Setup:

o Supervise and coordinate the setup of events, including room layout, table arrangements, decorations, and AV equipment.

o Ensure that all event materials (e.g., menus, place settings, supplies) are prepared in advance and ready for the event.

o Collaborate with clients to confirm event details and ensure all requirements are met before the event begins.

o Work closely with the kitchen, bar, and service teams to ensure smooth coordination of food and beverage service during events.

 Staff Management & Training:

o Lead, train, and supervise the banquet and events team, including waitstaff, bartenders, and support staff. o Ensure that event staff is well-prepared, properly uniformed, and knowledgeable about their duties for the event.

o Delegate tasks and provide clear instructions to team members to ensure the event runs smoothly and efficiently.

o Provide ongoing feedback and support to staff to maintain high service standards.

 Customer Service & Client Interaction:

o Act as the primary point of contact for event clients, ensuring their needs and expectations are met before, during, and after the event.

o Respond to customer inquiries, handle special requests, and resolve any issues or concerns in a timely and professional manner.

o Ensure that guests have a positive experience by delivering exceptional service, attending to details, and addressing any service gaps.

 Logistical Oversight:

o Oversee the flow of events, ensuring that timelines are adhered to and that all tasks are completed on schedule.

o Ensure that food and beverages are served according to the event timeline, addressing any issues promptly.

o Manage inventory and supplies needed for events, including linens, tableware, glassware, and serving equipment.

o Supervise the breakdown and cleanup of event spaces after events, ensuring that the area is left in a clean and orderly state.

 Health, Safety & Compliance:

o Ensure all event services are conducted in compliance with health and safety regulations, including food safety standards and hygiene protocols.

o Ensure that staff follows safety procedures, especially when handling food, beverages, or equipment. o Maintain a safe environment for guests and staff throughout the event.

 Financial Management & Reporting:

o Assist in budget management for events, ensuring that the allocated resources are used efficiently.

o Track event costs, staffing hours, and inventory use, reporting back to management on event expenditures and requirements.

o Maintain accurate records of event activities, including guest numbers, menu items, and service requests.

Team Collaboration:

o Work closely with the kitchen and catering teams to ensure the timely delivery of food and beverage services.

o Collaborate with the marketing team on event promotions, ensuring that events meet client expectations and align with brand standards.

o Assist in planning and coordinating future events, providing feedback and recommendations to improve processes.
