Role Description

This is a full-time on-site role for a Real Estate Administrator. The Real Estate Administrator will be responsible for day-to-day administrative assistance, property management, lettings, customer service, and communication with clients, including:

 

• Gather documents such as Title Deed / Oqood, seller/buyer passports, and emirates IDs to create portal listings

• Prepare form A, B and F on the Dubai Brokers App

• Apply for a Trakheesi permit for each property

• Help brokers to create Agent to Agent agreements

• Manage listing approvals, deletion, lead management, and segregation on Property Finder CRM & Brokerpad

• Keep records of all listing activities, such as when a property was first listed or when it was sold

• Acquire the necessary signatures for each listing agreement, sellers’ disclosures, and other required documentation and send to the real estate broker for file compliance

• Update the company CRM with portal leads

• Analyze listing performance, and optimize the portals, accordingly

• Prepare reports detailing a property’s performance over time, including the number of viewings, offers made, and price changes

• Maintain property document files in hard and soft copies

• Prepare Seller/landlord contracts and relevant documentation

• Quality check as per each portal guidelines

• Optimize credits on each listing Portal & daily refresh listings

• Check the validation of Developers agency agreement

• Answer front desk phone calls

• Handle office supplies & petty cash

• Coordinate employee visa processes with PRO

• Maintain all relevant employee documents

• File the documents for closed deals

• Keep Daily Attendance

• Help coordinate company events if needed

 

Qualifications

• Minimum 2 Years Real Estate Admin Experience in Dubai

• Must be well versed with Trakheesi System and Dubai Rest

• Hands-on experience with Bitrix, MyCrm and Brokerpad

• Excellent knowledge of Property Finder, Bayut and Dubizzle

• Efficient, detail-oriented and outstanding time-management

• Excellent communication and customer service skills

• Strong administrative assistance skills

• Proficiency in Microsoft Office and other administrative software

• Ability to work independently and as part of a team

• Fluency in English, other languages is a plus.
