Market Understanding and Event Development

– Develop strong knowledge about each show within your assigned portfolio using all available resources and information including show brochures, post show reports, etc.

– Attend exhibitions, conferences, events, seminars and review competitive publications for business development and market monitoring purposes

– Sell exhibition space and value added products such as sponsorship or advertising to previous and new exhibitors over the phone and face to face to meet and exceed sales targets across events portfolio

– Manage day to day personal and team sales pipelines and related administration

– Ensure that all details and relevant updated forms such as show brochure, post-show reports space contract forms, and corresponding show floorplan are communicated to interested clients

– Contribute to developing the event marketing strategy to maximize visitor and exhibitor attendance

– Lead event planning and debrief sessions with the relevant internal teams such as sales, marketing, database, and operations, ensuring client requirements are met and improvement ideas are acted upon

– Develop and analyze the event budget through accurate forecasting and cost assessment in coordination with the accounting and finance team

– Coordinate internally for the signature and dispatch of space contracts and step in where needed to support the accountant in following up on clients’ payments

– Update the operations team on all floorplan changes, additions, or sponsorship amendments on time

– Coordinate with the operations team onsite to ensure the smooth running of the event

Five Year Plan / Budget / Quarterly Reviews

Facilitate AFM and Business finance teams on preparation of Five year plans/ Annual Budget/ Quarterly reviews on Profit and Loss and Balance sheet for business units.

Ensure adherence to group reporting timelines and BPC up-dation to facilitate timely and quality reviews.
 

Profit Forecasts / Daily / Weekly Operating controls.
Provide monthly Flash profit forecasts in co-ordination with Business Finance teams.

  • Provide quality daily / Weekly operating controls on business performance against agreed objectives to  Sr. FC and MD
     

Monthly Management Reporting and Reviews

Provide quality monthly management reports and commentary to Sr. FC and MD. 

  • Support BUFM in preparation of monthly management Board reports
     

KPI and Cost analysis

  • Provide actionable analytics and benchmarking of business units through specific business level KPI.
  • Provide detailed cost analysis and identify key drivers for improvement plans.  
  • Build early warning trends and triggers to highlight deviations in business revenue and cost trends and recommend corrective action.
     

Balance Sheet Substantiation and reviews

  • Drive Balance Sheet Substantiation with business and finance team members
     

Margin Variance Analysis and review with Business.

As a member of Branch team – to support the dealership operation (Sales and After sales) – on (a) decision support for budgeting / forecasting/ MIS and KPI achievement (b) ensure compliance with company policies and procedures with major emphasis on – cash control, sales accounting and approvals credit controls & approvals, stock controls, audit report follow-up and (c) day to day internal controls review and improvement.

 

What you will do:

Budget / MIS and KPI monitoring:

  • Support branch management on preparation of Budget/ Forecast, Performance summary and review of variance analysis. 
  • Support GM – Retail in review of on Retail KPI trends and improvement plans with Branch Management.
  • Prepare reports and analysis for monthly Branch reviews to be held with GM Retail & BUFM
     

Cash Controls:

Review of daily collection and deposit of cash and cheques by branches and scrutinise GL control accounts for exceptions and petty cash management and co-ordinate with AFSS.
 

Sales Accounting and control:

  • Oversee via the Branch Accountant to ensure all documentation is complete as per company procedures for all Finance / Cash / Credit / Inter and Intra company deals.
  • Authorise release of VCC and Sales letter as per company procedure.
  • Validation of Sales document pack /LPO and credit approval or clear funds/ registration copy and authorise final release of the vehicle for customer delivery.
  • Process refunds within the sub-delegated authority /documentation and facilitate refund process with AFSS for beyond authority levels.
  • Check and validate all agreed check list before confirming passport release of branch staff.
     

Stock controls:

  • Ensure Stock controllers adhere to standard documentation and procedures with regard to stock movements and best practices followed on stock management of on-site stocks including Demo/display/Damaged stock.
  • Ensure adequate insurance coverage for dealership assets at all times.
  • Review periodical physical inventory and reconciliation to ensure physical stocks match with the system stocks.
     

Credit Control:

  • Process credit application request for AFSS approval and maintain relevant documentation as per approved credit deals
  • Authorise credit requirements within the framework of sub-delegated credit release authority from AFSS.
  • Facilitate submission of Finance deal packs and provide support and follow up with AFF for early collection of bank debts.
  • Review with the Retail / SME team on overdue and collection on periodical basis and provide status report to BSM and BUFM
     

Internal Audit  review and recommendations:
Facilitate Group internal audit review of branch operations and ensure implementation of audit recommendations.
 

Policy and Procedures and System support:

  • Continuous review of existing policy and procedures and recommend improvements to strengthen internal control.

Payroll:

Leadership:
